Who we are
This policy applies to the website and services operated by [LEGAL ENTITY NAME], trading as Winfrey Publishing, registered at the address shown on our contact page. For any question about this policy, contact us at the email address listed there.
What we collect
Information you give us. Your name, email address, telephone number, postal address, country, and details about your book — genre, manuscript stage, word count, budget range and the services you are interested in. If you create an author account we also store your account credentials in hashed form.
Manuscripts and files. Material you submit for assessment or production. This is treated as confidential and is described separately below.
Order information. What you bought, when, and the delivery address. Card details are handled by our payment processor and are never stored on our systems.
Technical information. IP address, browser type, pages visited and referring site, collected through server logs and analytics where you have consented to it.
Why we use it
- To respond to enquiries and provide the consultation you requested
- To deliver the services you have purchased
- To process orders, payments and deliveries
- To send transactional messages about your project or order
- To send marketing communications where you have opted in
- To meet accounting, tax and other legal obligations
Your manuscript
Manuscripts and related material are confidential. They are shared only with the team members and contracted specialists working on your project, all of whom are bound by confidentiality obligations. We do not show your manuscript to third parties, do not use it for training any system, and claim no rights in it at any stage.
You may ask us to delete your manuscript files at any time, and we will do so except where we are required to retain records for legal or accounting purposes.
Legal basis
Where required by law, we rely on: performance of a contract (delivering services you have purchased), legitimate interests (responding to enquiries, securing our systems), consent (marketing communications and non-essential cookies), and legal obligation (financial records).
Sharing
We share personal information only with: contracted specialists working on your project; our payment processor; our distribution partners where publication requires it; email and hosting providers; and authorities where legally required. We do not sell personal information.
How long we keep it
- Enquiries that do not become projects: [24 MONTHS]
- Project and client records: [7 YEARS] after the last transaction, for accounting purposes
- Manuscript files: for the duration of the project and [12 MONTHS] afterwards, or until you ask us to delete them
- Marketing contacts: until you unsubscribe
Your rights
Depending on where you live, you may have the right to access the personal information we hold about you, correct it, delete it, restrict or object to our use of it, receive it in a portable format, and withdraw consent at any time. To exercise any of these, contact us using the details on our contact page. We respond within [30 DAYS].
If you are unhappy with our response you may complain to your local data protection authority.
Security
We use HTTPS across the site, hash all account passwords, restrict access to personal data on a need-to-know basis and require confidentiality agreements from contracted specialists. No system is perfectly secure, and we will notify you and the relevant authority if a breach affecting your data occurs.
International transfers
Some of our providers operate outside your country. Where personal data is transferred internationally, we rely on appropriate safeguards as required by applicable law.
Children
Our services are intended for adults. We do not knowingly collect personal information from anyone under [16]. If you believe we have, contact us and we will delete it.
Changes
We will post any changes to this policy on this page and update the date above. Material changes affecting how we use your information will be notified directly where we hold your contact details.
